Do your adventures include international airfare to and from the starting point of the adventure and my home?
Our adventurers come from all corners of the globe and have their own specific requirements, therefore it’s not really feasible for us to include international airfare in our prices. As such, all of our adventures are “Land Only”, which means that we do not include airfare or personal travel expenses between the starting point of your adventure and your home. If there is ever an exception to this, we will very clearly state this fact in the trip details.
Included Airfare: While it is the case that international airfare is not usually included, any airfare that occurs
during scheduled itineraries will be arranged on your behalf. Sometimes it is included in the price of the adventure, while other times it is an additional price. Either way, if it is included it is always clearly outlined in the trip details.

How should I book my international airfare to and from the starting point of the adventure and my home?
Many people prefer the convenience of purchasing their own airfare on-line. There are many on-line providers of international airfare who can provide quick, easy and affordable airfares.
For those tricky flights or for those people who would prefer to have the assistance of a professional, we can recommend the services of Ed Koman. Please DO NOT purchase your airfare or any personal travel requirements until you receive a written confirmation of guaranteed departure from Head Out Adventures.
Be sure to book flights which give you ample time to be at the starting location of the trip on the scheduled departure day. If you have specific questions about the best time of day to arrive in your starting city, just send us an e-mail at customerservice@headoutadventures.com. For most adventures, we highly recommend that you fly in a day or two early and to extend your trip by a day or two as well. This helps in the event that there are any flight delays, but it also gives you the chance to enjoy the starting destination and to relax a bit before and after the start of the adventure. Pre and post hotel nights are usually easy to arrange; just let us know so we can set up accommodations and transfers for you.

What is a Local Payment?
Some of Head Out Adventures’ trips require a local payment that must be paid directly to the guide in USD on the first day of the trip. This per person amount is in addition to the price of the trip and represents the final payment for the adventure. Payment is compulsory and your participation on the adventure is contingent upon the payment of the local payment in full.
The local payment allows the adventure guide to facilitate the flow of funds into countries that we travel through for such things as accommodations, park fees, transportation, incidental costs, etc. The use of local payments also helps to reduce the overall price of the adventure, as it minimizes the direct tour related costs associated with wiring money, credit, etc. This helps us keep our prices competitive and in-turn, pass the costs savings on to you. The Local Payment must be made in full to your Head Out Adventures representative upon arrival in USD cash.

What is a Single Supplement?
Head Out Adventures trips are priced based on double occupancy. A single supplement is a cost that is charged in addition to the cost of the adventure for those traveling alone, as an odd numbered group, or who are specifically requesting a single room.
If desired, Head Out Adventures will attempt to match you with another single adventurer of the same sex. If successful, the single supplement will be waived and you will most likely be paired with this person for the duration of the adventure. If unsuccessful, the single supplement charge will apply in full. Adventurers requesting a single room for the duration will be charged the single supplement in full.
Note: A single room cannot always be guaranteed in each destination. Additional single supplement may apply to any optional activities.

How do I get access to money along the trip?
The best way to access your money on the road is through ATM’s (it’s best to have a Visa symbol on the front of your
ATM card). They are by far the best way to get local cash. ATM’s are readily accessible in pretty much any country,
airport and/or major area of tourism. Credit cards (again Visa is best) are a great way to pay as well, but as a
general rule they are less accepted in 2nd and 3rd world countries. Having USD cash is the easiest and in some areas
it is the local preference. This is particularly true in Africa and some Asian countries. USD cash (in smaller denominations) is the most accepted currency in the world, but is nearly unrecoverable if lost, so the use of traveler’s checks is an additional option. Although less desirable to locals than hard USD currency, traveler’s checks add a layer of safety if lost. A combination of both USD and USD based traveler’s checks, along with an ATM and credit cards, is a good recommendation for most places.

What type of accommodations should I expect on my adventure?
We believe that adventure travel is all about the place that you visit, not the luxury of your hotel. We also believe that it is important to be in comfortable, safe and clean accommodations. Therefore, our adventures are built to include reputable, mid-range, and wherever possible, locally owned accommodations.
Note: On some of our adventures, especially those that venture deep into remote, underdeveloped areas (such as certain parts of Tibet and Africa), the tourist infrastructure can be extremely limited. While this is part of the charm and allure, the services can be very basic in nature. In these cases we make all attempts to provide the best available accommodations.

Who are the adventure guides for your trips?
While all of our RTW adventures are fully guided with both Head Out Adventures’ western and local guides (simply because the complexity and breadth of countries that we travel to), the remainder of our adventures use experienced, English speaking local guides. We believe that using local guides is the very best way to maximize your experience, as our local guides know the land, culture and customs intimately.

Can I add a Western guide to my trip?
There are times when adding the services of a western guide, at an addition cost, is beneficial. This is especially true for larger groups (families, friends, organized groups, etc.) and sometimes even for smaller groups.
It is the responsibility of Head Out Adventures’ western guides to assist groups from start to finish. Organizing all aspects of the adventure from transportation, to hotels, to coordination with the local guides, the use of a Western guide allows the group the freedom to fully enjoy the trip. Are there any restrictions on your tours?
The minimum age for our adventures, without parental supervision, is 18. Typically we discourage parents or legal guardians from traveling with children under the age of 12, except on our family rated adventures. While we leave the ultimate decision to the discretion and responsibility of the parent or legal guardian, we recommend that you contact Head Out Adventures before booking to discuss the details of the adventure you wish to purchase so that you can best judge the appropriateness.

Am I able to book extra hotel nights before or after my tour?
Absolutely. Most of our adventures offer this option during the check out process. In the event that this option is not offered, please feel free to contact us. Many times we can make this arrangement on your behalf.

Can you provide a list of local contacts and hotels that I will be staying at?
Yes. After you purchase your adventure, we will send you a pre-departure package which will include, among other things, your start and end hotels. However, due to the fact that many of our destinations incorporate 2nd and 3rd world countries, exact accommodations cannot be guaranteed and we reserve the right to change accommodations in route in order to satisfy unforeseen circumstances.

Can I join a tour late or leave it early?
While we highly discourage this, it is possible if it does not disrupt the tour. Should you choose to join an adventure late or leave it early, you will be fully responsible for all associated arrangements and costs, as our obligation to you only starts when you physically join the adventure and up until you choose to leave it. Typically it is best to try to arrange a customized adventure through us. Either way, please contact Head Out Adventures to discuss.

Are airport transfers included?
In some cases airport transfers are either included or are offered as an option. This should be clearly indicated on the trip details page of each of our adventures. In other cases it is best to use local transportation. Your starting point for each adventure will be given to you as part of your package once you purchase your adventure. If you are unsure of airport transfer inclusions, contact Head Out Adventures before purchasing any additional travel arrangements.

What type of transportation is used on your adventures?
Depending on the nature of the adventure, this can vary from comfortable tourist vans, to rugged 4X4’s and buses, boats, trains, scheduled airlines, horses, trekking, or a combination of all of these. In all cases we use comfortable and safe vehicles that are suitable to the environment and activity. Please see the trip detail page of each adventure for specifics.

What type of luggage should I bring?
It is our experience that the less you can bring the better. Most basic necessities can be obtained anywhere in the world, with the exception of the most remote places. We recommend the combination of a small day pack and, if you are comfortable carrying one, a medium sized backpack (about 3,800 – 4,200 cubic inches or 62 – 69 liters).
Backpacks can be a traveler’s best friend, as it frees your hands and allows for maximum maneuverability. While some people prefer rolling bags, remember that you will need to be carrying your bags in a variety of conditions that may not be conducive to rolling bags, including on and off boats, trains and other rugged surfaces.
Eagle Creek makes a variety of excellent adventure travel backpacks. Here are a few recommendations. This is a good place to start and adjust for your personal comfort.

What should I pack for my adventure?
Take as little as possible. Virtually everything, with the exception of specialty items like medications, can be purchased on the road. Remember that you have to carry everything you bring. Once you purchase your adventure, we will send you, among other things, a starter list of suggested items to pack.

Do I need Visas, if so how can I get them?
It is VERY important that you check the visa requirements for countries that you wish to visit as early as possible. Requirements for visas can vary significantly depending on the country you come from and the country that you are visiting and can, in some cases, take upwards of a month to obtain. Most visas can be obtained on entry, but some countries require you to obtain a visa before hand in your home country. While you may be able to use the services of a visa processing service or a travel agent, if you are up to the task it cab be just as easy to do it yourself.
It is best to check the destination country’s embassy or consulate website for their requirements. Embassy/consulates can typically be found in your nearest major city or capital. Their websites can often be found using a typical search engine. Alternatively, you can try your home country’s Department of State (or equivalent). Guides, like Lonely Planet, can be a decent resource too, but beware that they may not always be current.
Below is a good place to start for Visa research. Please be sure that you have the latest information and any/all appropriate visas before you depart on your adventure, as obtaining any and all required Visas are solely your responsibility.

Do I need a Passport?
Yes, you will need a passport if you are traveling outside of your country. In addition, it is required by most countries that, at the time of entry, travelers have at least six (6) months remaining on their passport before expiration to be allowed entry into the country. Therefore to minimize any potential issues we require that the passport expiration date of all our adventurers be at least 6 months after the
last day of the adventure. Obtaining or renewing passports, as well as compliance with this requirement and all associated passport rules and costs, is the sole responsibility of the adventurer. Please contact the passport office of your home country for more details.

What vaccinations do I need for my adventure?
It is highly advisable that you visit with your doctor to determine if you are physically and mentally capable of participating in the type of trip you plan on going on before purchasing. You should also discuss with your doctor if any vaccinations or medications (i.e. malaria tablets, etc.) are needed or recommended. It is your responsibility to ensure that any and all vaccinations or medications that are required are obtained before departure and that you acquire and carry a recognized certificate for proof of inoculation where required.

Is tipping included and if not, how much should I tip?
Tips are not included in the cost of your adventure. If at the end of the trip you feel that your Head Out Adventures Guides did a great job, then tipping is greatly appreciated. While the decision to tip and corresponding amount is completely at your discretion, please keep in mind that tipping is how most guides earn the bulk of their living.

Do I need Travel Insurance?
Being on the forefront of adventure travel is what we do best. From our classic adventures to our ground-breaking fully guided 'Around the World' Tours, our goal is to introduce our clients to the most exciting adventures and emerging destinations in the world. We strive to be unique and to visit the road less traveled, but to do it in a safe, comfortable and exciting fashion.
Like all of the leading adventure travel companies in the industry, because our adventures do center on the more exotic and off-the-beaten-path destinations and often incorporate extreme sports and activities, we
require that all of our clients carry at least a minimum level of emergency medical, evacuation and repatriation insurance. In addition, we also
highly recommend that all our clients take out a full travel insurance policy to cover personal liability, cancellation, trip interruption, loss of luggage and personal effects, etc.
Mandatory Minimum Travel Insurance Requirements:
It is solely the passenger's responsibility to, at
minimum, obtain the following coverage, which must be valid for the duration of all travel on any and all Head Out Adventures trips.
- Medical Expenses: $50,000*
- Emergency Evacuation and Repatriation
*NOTE: It is important that your minimum policy cover you for travel in all countries that you will be visiting and that, if needed, an
additional Sports & Hazardous Activities rider be obtained to cover all activities you will be participating in. Sports & Hazardous Activities may include, but are not limited to higher altitude trekking, whitewater rafting, skydiving, SCUBA diving, bungee jumping, horseback riding, canyoneering, repelling, surfing, mountain biking, kayaking, etc. Please check with your insurance agent for complete details of any policies you own or intend to own for coverage details.
Highly Recommended Travel Insurance Coverage:
In addition to the above mentioned mandatory coverage, Head Out Adventures
highly recommends that each traveler purchase a travel insurance policy that covers personal liability, cancellation, curtailment and loss of luggage and personal effects. We all know that unforeseen situations can occur at home before or during a trip. This alone is a great reason to purchase full insurance. However, unforeseen situations can happen while traveling too. Weather, airline, transportation or other delays of several days, although not always common, can and do happen. Full travel insurance coverage may help alleviate some of the burden of the costs associated with these or similar types of events, whereas you will otherwise be required to incur the full cost. As such, Head Out Adventures
highly recommends that full travel insurance coverage be purchased above and beyond the required minimum as stated above.

How soon, after booking my trip on-line, will it be until I have a confirmation of guaranteed departure?
Immediately upon receipt of your booking, we will begin the process of confirming your reservation with our local agent. As soon as we receive a confirmation back from our local agent we will e-mail you a guaranteed departure confirmation. This process typically takes between 24 and 72 hours, but may take upwards of 5 business days. Until you receive a written confirmation of guaranteed departure from Head Out Adventures, please DO NOT book any of your international flights or personal travel arrangements.
